Keeping private notes on a chat

For shepherdsUpdated 17 Oct 2026

Jot down what you talked about, during the call or after it, with headings, bullets and checkboxes. Your notes are private to you.

A private note on a chat helps you remember what you talked about, what you promised and when to follow up. Nobody else can read it: not the talent, not their organisation and not other shepherds.

Where to find itOpen Past

Add or edit a note

  1. Step 1: Go to Chats → Past. Each chat has a note strip underneath it.
  2. Step 2: Press Add note, or Edit note if you've written one.
  3. Step 3: Write your note (up to 4,000 characters) and press Save note.

You can also add a note when you log the outcome. To remove a note, clear the box and save.

Take notes during a call

In an audio call on KoffeeChat, open My notes beside the call. Your note saves as you type, and when you're hosting, it's the same note you see under the chat in Chats → Past. Hosting an audio call

  • Press Maximise (the arrows pointing outwards, above your note) to give your notes the whole page. The call carries on: the timer, the recording, Mute and Leave stay in a bar at the top.
  • Press Minimise, or Esc, to go back.
  • On Chats, the note window has Maximise too.

Format your note

Formatting shows straight away in the box as you write: bold words look bold and a checkbox is a box you can tick. Use the buttons above the box: select some words or lines first, or press a button and start typing. Press the same button again to take the formatting off.

  • Bold

What it does: Makes words stand out

Or type: Ctrl+B (⌘B on a Mac), or two asterisks either side

  • Italic

    What it does: Slants words

Or type: Ctrl+I (⌘I on a Mac), or one asterisk or underscore either side

  • Heading

What it does: A title for a part of your note

Or type: # and a space at the start of a line

  • Subheading

What it does: A smaller title

Or type: ## and a space at the start of a line

  • Bullet list

What it does: A list of points

Or type: - and a space at the start of a line

  • Checkbox

What it does: A to-do you can tick off

Or type: [] and a space at the start of a line

  • Quote

What it does: Something they said, word for word

Or type: > and a space at the start of a line

  • In a list, a checklist or a quote, Enter starts the next line the same way. Press Enter on an empty one to finish the list.
  • Backspace at the start of a formatted line takes its formatting off, and Ctrl+Z (⌘Z on a Mac) undoes.
  • Tick a checkbox by clicking its box, or with Ctrl+Enter (⌘Enter on a Mac). In a call, and in the note under a chat in Past, it's saved straight away. In the note window, it's saved when you press Save note.
  • Pasting brings in the words without outside styling (fonts, colours, links). Lines that start with a dash, # or [] and a space, and words between two asterisks, become formatting just as if you'd typed them. Text copied from one of your notes keeps its formatting.
  • Formatting counts towards the 4,000 characters. Near the limit, a counter shows how many you've used.

Worth noting

What stood out, what you promised to send (a checkbox makes a handy to-do), and when to check in. After the chat
