Building your organogram
For organisationsUpdated 29 Sep 2026
Map your organisation's structure, fill in vacancies, invite people to claim their seat and share the chart.
Your organogram is the map of your organisation: every position, who sits in it and who they report to. It's also where your people find their seat and plan their growth.
Three ways to build it
- Upload CSV: one row per person, with the columns full_name, work_email, job_title, department, manager_email, location, level and start_date. The manager_email column builds the chart: it should match the work_email of that person's manager in the same file. Re-import any time; it updates rather than duplicating.
- Use existing data: your team members become people and your open jobs become vacant positions. You arrange who reports to whom afterwards.
- Add the first position: add the top of your organisation, then add reports your way down. Best for small teams.
Working in Excel or Google Sheets?
Use File → Download or Save As → CSV and upload that file. Excel files can't be imported directly yet.
Working with the chart
- Search people or positions, and filter by department or level.
- Switch between Chart view and List view, or open it full screen.
- Press Import to upload again, Add position to add one by hand, or Export CSV to download it.
Positions and vacancies
Press a seat to open it. For a position you can set its title, department, location, employment type, who it Reports to, a job description and the skills required.
- Leave the occupant empty to make it a vacancy. Vacant seats are marked Vacant on the chart.
- Press Post this role on a vacancy to add it to your Jobs board.
- Delete a position and its reports move up to its manager.
People and invitations
- Each person shows whether they're On KoffeeChat, a Shepherd on KoffeeChat, or Not on KoffeeChat yet.
- To invite someone to their seat, add their full name and work email and press Invite to claim. We email them an invitation to join your organisation and claim their seat.
- Once they join with that work email, their seat is linked to their work account and they can set their internal career ladder. Your seat and internal career ladder
- Press Talent card (1-pager) on a person to open a one-page summary of their role and growth, then choose Save as PDF in your browser's print window.
